Admin Settings

All Settings for Super Administrators

*These settings are only available for super administrators.*


In this tutorial, I will show you all of the Settings for Super-Admins.


To access these features, first log in with your Super-Admin credentials.


General: (0:18)


In the General tab, which allows users to set you can change the language, units, and dates.


The language options are English, Spanish, and French.


You are also able to change the units for example,


1. Flight Times

2. Speed

3. Altitude

4. Distance

5. Fuel

6. Currency

7. Thousands separator


You have the option to change the date format to Day/Month/Year or Month/Day/Year.


Finally, you can change what you consider the first day of the week and select your week to start either on Saturday, Sunday, or Monday.


Bases: (0:56)


In this tab, you can define your bases.


You can edit the default base and the bases you have also created.  It is not possible to delete the default setting.


For example, when you edit a base you can only change the operational hours, time zone and VAT/Sales Tax.


On the bases that you have created you can also change the name, operational hours, time zone and the VAT/Sales Tax.


Lastly, you can also add a base by filling out the name, operational hours, time zone and the VAT/Sales Tax.


Logbook: (1:35)


In this tab, you can change the format of your Logbook.


You can change the number of Logbook lines per page, you can add and subtract lines.


Next, you can change the Logbook times. For example,


1. Hobbs Time

2. Total Time (Start-Stop)

3. Block Time (Taxi-Stop)

4. Air Time (Takeoff-Landing)


Lastly, you have the option to round the times in your logbook to the closest 5 minutes.


Flight & Duty Times: (2:05)


In this tab, you can create default settings for Flight & Duty Times.


You can create new default settings according to your preferences. It is not possible to delete the default setting.


The conditional settings will be applied in the order they are created. The system will find the first flight and duty time settings and apply them to this user. If there is no conditional flight and duty time setting, then it will use the default.

Certificates: (2:39)


Here you can manage the approval of your certificates.


By clicking on the toggle, you can activate that all certificates require approval to be valid. You can also send a notification by email. Just add the email to the space provided and separate them by using a comma.


Schedule: (2:57)


This section allows you to configure your schedule:

You can choose to display the times in Local Time or UTC.


You can enter an ICAO airport so that Private-Radar will automatically calculate the night times.

You can also select the default time for a booking by choosing from the times selected. 


If you select “Create private bookings by default”, any new booking will be Private. A Private booking allows you to create a pre-schedule, and publish it after so that users will only be notified once the schedule has been published.


You can also prevent scheduling an aircraft outside of the operational hours of its base by clicking on the toggle.


Then, you can put constraints to avoid saving bookings for certain conditions. 


Remember that the warnings are always shown when you create a booking, but you need to select the constraint here if you want to prevent the booking to be saved.


You can implement aircraft constraints such as,


  1. Prevent double booking.

  2. Prevent booking when maintenance is due.

  3. Prevent booking when a certificate is expired.


You can also implement user constraints such as,


  1. Prevent double booking.

  2. Prevent booking when a certificate is missing or expired.

  3. Prevent booking when flight/duty time is exceeded.

  4. Prevent booking when not current.

  5. Prevent booking when not available.

  6. Prevent booking when the user's account is below the minimum amount defined in User / Account / Settings.

  7. A maximum number of future bookings.


Next, you can change the default pre/post-briefing times.


You have the option to select to create flights automatically from the schedule. In that case, a flight with the same information as the booking will be created 30 minutes after the booking has started.


Next, you have the reasons for a cancelation. You can add, edit, modify and delete these reasons.


Lastly, the schedule is color coded. For each specific type of lesson, there is a color associated to it. You can modify the colors as you wish.


Dispatch: (5:07)


In this tab, you can prevent dispatch by implementing these options. This tab allows you to prevent dispatch if you have certain requirements for your flight school.


First, you can make the signature of the PIC mandatory.


Create time constraints by having the option to,


  1. Prevent dispatch (x) minutes before the beginning of the booking.

  2. Prevent dispatch (x) minutes after the beginning of the booking.


You may implement aircraft constraints such as,


  1. Prevent dispatch when a maintenance item is overdue or if there is a groundable squawk.

  2. Prevent dispatch when a certificate is missing, expired or not approved.


You can also implement user constraints such as,


  1. Prevent dispatch when the booking is not approved.

  2. Prevent dispatch when a certificate is missing, expired or not approved.

  3. Prevent dispatch when the PIC is not current.

  4. Prevent dispatch if the balance of the customer is below the minimum.

  5. Prevent dispatch when the TSA is not valid.


Currency: (6:16)


In this tab, you can implement the currency of other users. The currency refers to the number of flights a pilot has flown.


You can change the minimum number of landings for solo flights and flights with passengers with the option being,


Solo Flights:

  1. Minimum of (X) landing(s) in the past (X) month(s).

Flights with Passengers:

  1. Minimum of (X) landing(s) in the past (X) month(s).


Evaluation: (6:43)


In this tab, you can change the way your flight school evaluates.


First, you have the option to make the signatures of the instructors and students mandatory. You can choose one, both, or none.


Next, you can change the format of your evaluation scale. Here are some of the options you can choose from,

  1. 1,2,3,4,5

  2. I,P,S (Insufficient, Pass, Sufficient)

  3. U, F, G, E (Unsatisfying, Fair, Good, Excellent)

You also have the option to add global evaluation items for example,

  1. Procedure

  2. Communications

  3. Behavior

and so on. You may add up to 20 items of your choice.


Next, you have the option to make evaluations mandatory for all flights.


Finally, you can set a reminder if a lesson has not been evaluated.


Notifications: (7:47)


This tab allows you to define a list of emails that will receive an email and be notified in case of the events below. The emails in the lists have to be separated by a comma.


  1. When there are new, modified, approved or canceled bookings.

  2. When there are SMS events.

  3. When there are Invoice Notifications.

  4. When there are Maintenance Notifications.


You can also choose to not send an email if only the aircraft or the classroom change by clicking on the toggle.


Note that in every email your receive, you have a link to unsubscribe to all of these notifications. If you click on it by mistake, you can always come back to your settings to configure it to not receive notifications.


Invoices: (8:34)


In this tab, you can change the default VAT/ Tax percentage.


Online Payment: (8:44)


In this tab, you can activate which form of online payment best suits your flight school. You may only select one. For each method, you need to enter the information which allows the system to make the connection with the payment system.


You have the options,


  1. Authorize.net (Fill out your API Login ID and Transaction Key)

  2. Lyra (Fill out your User, Password, and Public Key)

  3. Stripe (Fill out your Publishable and Secret Key)


Don’t forget to save!


Accounting Apps: (9:19)


You have the option to implement to use Exact Online, Quickbooks Online or Sage.


Just click on the toggle to activate.


Login: (9:30)


In this tab, you may choose to receive an email about security and have the option to use Azure.


  1. Send me an email after a successful login with my account.

  2. Use Azure to sign in Private-Radar.


Backup: (9:44)


In this tab, you have the option to set up a backup host. You can do an FTP backup automatically.


  1. Fill in the user and password.

  2. Test the connection by clicking the blue button just below.


API: (9:58)


In this tab, you can choose to activate the API to connect to Private-Radar to download the information needed.


Once you activate the API, you can see the API Key.


  1. Renew it by clicking the blue button below.

  2. Download the API documentation by clicking where it says “Click here to download the API documentation”.
