How to Manage the Roles and Privileges for the Mailing Module
In this tutorial, I will show you how to configure the Roles and Privileges for the Mailing Module.
Directly from your Private-Radar account, you can send and receive emails from the Mailing Module. Everything can be found in one place, such as announcements, messages from instructors, daily schedule summaries, new bookings, modifications, and cancellations.
MANAGE PRIVILEGES:
Let me show you how to set this up:
1. First, log in to your account.
2. Go to the Users Module.
3. Click on the Roles button on the top right-hand corner of the page.
4. Select a role from the drop-down list.
5. Go to the Mailing tab
6. Here you can select the criteria.
If you want users with the selected role to “View the Mailing Module”, check off the box.
You can give the privilege to users with the selected role to view the recipients. Additionally, you can allow them to view who read the mailing. You can also let them view who signed it. When creating a mailing, choose "Must sign" to require signatures. Users with a role that enables them to see who read and signed a mailing are then able to view this information.
If you want to allow users with the selected role to be able to send mailings, check off this box.
Keep in mind, the other users to whom they can send a mailing will depend on the Roles and Privileges that have been defined for the Users Module. By configuring Roles and Privileges for the Users Module, you can select which bases and user lists will be displayed. For example, if "View all users" is selected under Users Lists, they will be able to send mailings to all other users. Lastly, you can give the privilege to delete mailings.
STUDENT’S VIEW:
For a student role, I would allow them to view the Mailing Module, as well as to delete the received mailings, and I would leave the rest of the options unchecked. This means the students will only receive mailings but won't be able to see other recipients or send mailings.
In the Roles and Privileges for the Users Module, if the role Student is configured only to "View self" in the user list section, then any user with the role Student would not be able to send emails to other users because the list of recipients would only show himself.
INSTRUCTOR:
For the role instructor, for example, I would allow them to view the Mailing Module, and access all its functionalities.
If an instructor has a restricted view of the user list, for example, to view a group, then he will only be able to send mailings to the users that belong to that group.
On the other hand, if the role Head of Training, has access to view all users, then users with this role will be able to send mailings to all of the other users. You could also choose to limit by base by adjusting the Roles and Privileges for the Users Module.
