How to Manage the Roles and Privileges for the Reports Module

In this tutorial, I will show you how to configure Roles and Privileges for the Reports Module.


The Reports Module gives you the tools you need to keep track of all your activity with more than 30 pre-designed reports. Keeping track of daily operations will be much easier and you will always be prepared for audits.


ATTENTION: The information displayed depends not only on the privileges for the Reports Module but also on the privileges for the Users Module. By configuring Roles and Privileges for the Users Module, you can select which bases and user lists will be displayed. You can, for example, select to view all users or to view only specific groups. MANAGE ROLES AND PRIVILEGES: (0:55)


Here you can decide which report or reports to give access to each role. Let me show you how to set this up:


1. First, log in to your account.


2. Go to the Users Module.


3. Click on the Roles button on the top right-hand corner of the page.


4. Select a role from the drop-down list.


5. Go to the Reports tab.


6. Here you can select the criteria. 


  • Check off the box "View Reports" if you want to allow users with the selected role to view the Reports Module. You can now select which reports you want to make available to each role using the full list of reports:


BOOKING REPORTS:


  • All Bookings, in Excel

  • Cancellations

  • Aircraft Schedule

  • Classroom Schedule

  • Classes of a Group


FLIGHTS REPORTS:


  • Flight Hours

  • Gliders

  • Production

  • Fuel

  • Landings


USERS REPORTS:


  • Account statement

  • Availability

  • Account balances

  • Certificates

  • Flight & Duty Time, in Excel

  • Flight & Duty Time, in PDF


REMEMBER: Flight and duty time is automatically calculated. Flight times are calculated from the actual flights, not from the schedule. The daily time is calculated from the beginning of the first activity of the day to the end of the last activity of the day, including briefings. See Flight and Duty Time Settings for more information.

AIRCRAFT REPORTS:


  • Days not flying

  • Aircraft total times


INVOICES REPORTS:


  • Invoices

  • Subsidies

  • Payments


COURSES REPORTS:


  • Students’ progress

  • Students’ exercises

  • Signatures

  • Course valuation

  • Ground lessons


SMS REPORTS:


  • SMS Reports. 


When this option is selected, users with the selected role will be able to download a full report of SMS events by selecting a range of dates. The report is an Excel document. To grant the privilege to add/edit/delete SMS events directly in the SMS Module, refer to the Roles and Privileges for the SMS Module.

STUDENT’S VIEW: (3:26)


The role Student, for instance, could be given the privilege to view some reports, but be sure to restrict their view to "View self" in the Users List in the Roles and Privileges for the Users Module. By doing so, students will only be able to see their own information when accessing a report. As an alternative, you can simply uncheck the box that says "View Reports Module" to hide the Reports Module completely. 


HEAD OF TRAINING’S VIEW: (3:54)


The head of training role could be able to view the Reports Module, but only certain reports, including the Students' Progress report and Students' Exercises report.


SMS MANAGER’S VIEW: (4:07)


For the SMS Manager role, you could allow them to view the Reports Module but only the SMS Report. 


REMEMBER: The information displayed depends not only on the privileges for the Reports Module but also on the privileges for the Users Module. By configuring Roles and Privileges for the Users Module, you can select which bases and user lists will be displayed.


For example, if an instructor has the privilege to view only a specific group of users, the reports that he opens will only show the information of the users that belong to that group. 


If you want to give users with the role Student the privilege to view a report, you can restrict the option to view the report with just their own information, by checking the “View self” box.


Set up the role and privileges for the Reports Module according to the access you want to grant each role.
